Overview of Agency
The Federal Court of Australia (the Entity) is a non-Corporate listed entity for the purposes of the Public Governance, Performance and Accountability Act 2013 (PGPA Act) and a statutory agency for the purposes of the Public Service Act 1999. The Entity supports the operations of the Federal Court of Australia (FCA), Family Court of Australia (FCoA), the Federal Circuit Court of Australia (FCC) and the National Native Title Tribunal (NNTT). The FCA, FCoA and FCC are Chapter III Courts under the Australian Constitution and continue to operate as individual judicial jurisdictions.

Position Overview
Child Dispute Services (CDS) is the area of the Court that provides family consultant services to assist families and judicial officers in achieving the best outcomes for children in family law parenting matters. Working to the Executive Director Child Dispute Services, the primary purpose of the role is to provide a range of high level executive, financial and project support services to the Executive including management of the office of the Executive Director CDS, budget oversight and reporting and implementing strategies to support the clinical and operational objectives of CDS.

Key Responsibilities
Executive Support

  • Act as the office of the National CDS point of contact, liaise with internal and external stakeholders and action requests to coordinate communication and proactively ensure responses meet deadlines
  • Manage the day to day operations of the office of the Executive Director CDS, including calendar, travel and email
  • Research and prepare advice, information and reports on CDS operational matters to support decision making and planning
  • Develop and oversee the implementation and evaluation of CDS national administrative practices, systems and procedures to optimise efficiency and support the achievement of quality outcomes
  • Provide strategic and operational guidance to the CDS National Leadership Team in relation to CDS administrative staff and processes.
  • Provide incidental executive support to the CDS Professional Development Coordinator

Financial Support

  • Advise and assist in the preparation of CDS national budgets
  • Undertake regular budget monitoring and reporting activities
  • Guide and support the CDS National Leadership Team in the management of CDS budgets

Project Support

  • Work with the CDS National Leadership Team to identify project priorities and adjust work plans as required. 
  • Plan and coordinate project meetings including arranging communications setup, preparing agendas, taking minutes and monitoring follow-up actions.
  • Implement, monitor and report on strategic, operational and project plans to inform decision making and support achievement of CDS objectives

Competencies & Attributes
This is a very busy role with a wide-range of tasks and responsibilities. Hence, it requires someone who is able to organise their daily workload and manage priorities in order to meet deadlines within strict time constraints. The ability to work autonomously, demonstrate initiative, flexibility and sound judgement is a key capability to performing successfully in this role. Financial management capability is also a key requirement of the role

As this role works across a large, dynamic team, it requires someone who is a team player and who is able to work collaboratively with managers and staff across all areas.

Selection Criteria

  1. Strong experience in providing high level administrative support services, including demonstrated commitment to excellence in service delivery, attention to detail and strong research ability.
  2. Demonstrated knowledge and experience in planning and managing large, complex budgets.
  3. Strong organisational skills, initiative and flexibility to manage workload and perform under pressure. Ability to take initiative and be adaptable to changing work priorities and requirements.
  4. Demonstrated ability to build and maintain positive and productive working relationships with a variety of stakeholders, including senior staff.
  5. High level organisational and problem solving skills including the ability to work under pressure with limited direction, exercise initiative and forward plan, manage time effectively, and help coordinate the work of the Executive Director Child Dispute Services as well as manage own workload.
  6. Strong oral, written and interpersonal communication skills, with proven ability to present formally and build and maintain positive professional relationships. Be able to exercise tact and discretion and maintain confidentiality.
  7. Court or clinical service experience highly regarded. 

Eligibility
Employment with the Court is subject to the terms and conditions in the Public Service Act 1999, and the following conditions:

  1. Australian Citizenship – the successful applicant must hold Australian citizenship;
  2. Criminal History Check – the successful applicant must satisfy a Criminal History Check, and may be required to complete security clearances during the course of their employment;
  3. Health Clearance – the successful applicant will be required to complete a health declaration and may be required to attend a medical assessment to confirm their fitness for duty.
